1. What InviteKey does
“Organiser” means the person or organisation creating an event. “User” means an organiser or a team member authorised to use the service. An invited guest does not need an InviteKey account to receive an invitation or present a pass.
InviteKey lets organisers prepare an invitation-only event, import or enter confirmed guests, send invitation emails, issue personal QR and optional Apple Wallet or Google Wallet passes, and record check-ins. Available features and limits depend on the offer selected and may evolve.
InviteKey is an access-management tool, not the event organiser, ticket seller, payment collector for guests, or guarantor of admission. The organiser decides who is invited, who may enter, and how its event is run.
2. Accounts and authorised use
Users must provide accurate account information, keep access links and credentials confidential, and use only the permissions granted to them. The organiser is responsible for its team members, scanner devices and the accuracy of event settings and guest information.
Organisers must have a lawful basis to collect and upload guest details and to send invitations. Do not upload sensitive personal data or content that is unlawful, infringes another person’s rights, or is unnecessary for access management. Do not misuse passes, attempt unauthorised access, interfere with the service or send unsolicited messages.
3. Invitations, Wallet passes and check-in
A QR code or Wallet pass is a personal access credential. Organisers and guests should not publish or forward it. A pass may stop working if it is revoked, the event expires, or the organiser changes access rules. Wallet availability also depends on the guest’s device and Apple or Google services.
When an organiser enables offline scanning, a device may record a provisional admission before it can synchronise. Two disconnected devices may accept the same credential temporarily; conflicts are resolved or flagged after synchronisation. For stricter admission control, use server-confirmed scanning and a reliable connection.
Email delivery, Wallet installation and uninterrupted connectivity cannot be guaranteed. Organisers should verify critical details and have an appropriate admission fallback for their event.
4. Offers, limits and event duration
The current offer, capacity, price and storage duration are displayed before purchase or event activation. The free offer is limited to 50 guests and 14 days of event data availability from the event date. Paid event duration depends on the storage option selected. Applicable taxes, payment and refund information must be reviewed at checkout before an order is placed.
Once an event reaches its configured expiry, access to its operational data may end. The Privacy policy explains data-retention and deletion practices, including residual backups and logs. Export any information you need before the displayed expiry date.
5. Guest data and privacy
The organiser decides which guest data to provide and why. InviteKey processes that data to deliver the organiser’s instructions and the service. Each party must meet the privacy obligations applicable to its role. Our Privacy policy describes the data handled, service providers and privacy requests.
Organisers must give guests any notices required for their event and must not ask InviteKey to use guest data for a purpose outside this service. If a separate data-processing agreement is required for your organisation, contact us before uploading personal data; these terms do not replace one.
6. Content and intellectual property
Organisers retain their rights in logos, images, event details and guest lists they submit. They grant InviteKey the limited permission needed to host, process and display that content to provide the service. Organisers must have the rights needed to use anything they upload.
InviteKey retains its rights in the service, software, design and branding. These terms do not grant a right to copy, resell or reverse-engineer the service, except where applicable law allows it.
7. Changes, suspension and liability
We may maintain, improve or change the service. We may restrict access where reasonably necessary to protect security, prevent abuse, comply with law or address non-payment, and will give notice where practical. An organiser may stop using the service; ending use does not extend an event’s selected retention period.
We provide the service with reasonable care but cannot promise uninterrupted or error-free operation or delivery by third-party email and Wallet services. Nothing in these terms excludes liability or consumer rights that cannot legally be excluded. Subject to applicable law, neither party is responsible for losses it could not reasonably foresee when the service was used.
8. Updates
We may update these terms. The revised version will be posted here with a new “Last updated” date; material changes affecting existing users will be communicated by reasonable means. Continued use after an effective update means acceptance where the law permits; otherwise, stop using the service and contact us.
