THE ESSENTIAL FIELDS

What should your Excel or CSV file contain?

Use one row per guest. Column headings can differ: you map them to InviteKey fields during import.

EmailRequired
The address for the personal invitation. Check that it is present and valid for each guest.
IdentityRequired
At least one field: first name, last name or full name. You can keep first and last names in separate columns.
CompanyOptional
The guest’s company or organization, if this information is already in your list.
CategoryOptional
A label such as Guest, VIP or Partner. Unrecognized categories must be mapped or created before confirmation. Without a category, the default Guest category is used.
Collected confirmations elsewhere? That is the right starting point.

InviteKey does not ask guests to confirm attendance. It turns your already-confirmed list into personal access passes and tracks entry on the event day.

Resolve the items that need a decision

Invalid addresses, potential duplicates, unknown categories: review the flagged items and correct or resolve each case.

Create the selected guests

Check the number of guests actually being imported. Prepare invitation sending afterwards: importing a file does not trigger emails.

If the list exceeds the event’s available places, the preview identifies included and excluded rows. Check that scope and adjust your capacity if needed before finalizing.

AFTER IMPORT

Personalize the invitation, then distribute passes

Add the event’s visual identity, check the invitation preview and prepare sending. Guests receive personal access with a QR and the option to add their pass to a compatible Wallet.

The list becomes your starting point for reception

On the day, your team scans passes. You can then review arrivals and export attendance instead of reconstructing the result from a paper spreadsheet.

EXAMPLE WORKFLOW

A client reception, a list of 200 confirmations

  1. Consolidate your list: bring together confirmations collected by your sales team or another tool.
  2. Import and check: map names and emails; add company and category if useful.
  3. Prepare invitations: check the visual identity and send passes to the selected guests.
  4. Review the result: after scanning at the entrance, review and export attendance before the scheduled deletion of data.

Questions about importing guest lists

Do I need to rename all my columns?

No. Map your existing columns to InviteKey fields and check those mappings before finalizing the import.

Can I import names without email addresses?

No. The import workflow requires an email address and at least one identity field per guest. Email is used to distribute the personal invitation.

What happens if two rows share the same email?

The import flags potential duplicates within the file or against existing guests. Review those cases and decide how to handle them; they are not silently merged.

Does importing send invitations immediately?

No. It creates the selected guests after confirmation. Preparing and sending invitations is a separate step.

Does InviteKey replace my RSVP tool?

No. It takes over when you already know whom to invite, to distribute passes and control entry.
